2. What Information We Collect
We may collect and process information that you provide to us directly through our website, client portal, or customer service interactions, including:
- Contact details (name, email address, postal address, and telephone number).
- Account credentials and security verification details for portal access.
- Billing and transaction information necessary to process hosting and domain orders.
- Technical data such as IP address, browser type, operating system, and access timestamps.
3. How We Use Your Data
We use personal data only when the law allows us to, including for:
- Providing, operating, and managing cloud hosting, servers, and domain services.
- Communicating service announcements, security alerts, and technical support updates.
- Complying with statutory reporting requirements and verifying domain registration details with registries (such as Nominet and ICANN).
- Preventing fraud, DDoS abuse, and unauthorised network activities.
4. Data Storage & Security
All customer data is hosted in UK-based, ISO 27001-certified data centres powered by 100% renewable energy. We implement strict technical and organisational controls, including end-to-end SSL/TLS encryption, automated backups, and 24/7 network monitoring to prevent unauthorised access.
5. Your Legal Rights
Under UK data protection laws, you have the right to access, rectify, or request erasure of your personal data, as well as the right to restrict or object to certain processing activities. To exercise any of these rights, please contact Tervani through the Portal ticket system or call 01476 246 443 for company and general enquiries. Technical support is provided through tickets and email only and cannot be provided by telephone.
6. Lawful Bases
We process personal data where it is necessary to provide contracted services, comply with legal obligations, protect legitimate business and security interests, or where you have given consent. You can withdraw consent-based processing where applicable without affecting earlier lawful processing.
7. Suppliers & Registries
We may share necessary data with hosting infrastructure providers, payment processors, domain registries, registrar platforms, fraud-prevention services, email delivery systems, analytics providers, and professional advisers. Domain registration data may be shared internationally where registry or ICANN processes require it.
8. Retention
We keep personal data only for as long as needed for service delivery, account administration, security, legal compliance, accounting, dispute resolution, and legitimate business records. Retention periods vary by record type and legal requirement.
9. Cookies & Analytics
The website and portal may use essential cookies for security, login, checkout, preferences, and service operation. On this website and the customer portal, we use Google Analytics to understand how visitors use our pages. The Google Analytics tag on each site loads only after you accept analytics cookies there. You can reject them or change your choice at any time using Cookie settings in that site's footer. The website and portal store separate choices in your browser. The Website Migration and Contact Us forms use Google reCAPTCHA to deter automated submissions. reCAPTCHA may set a necessary security cookie when it runs. Google’s Privacy Policy and Terms of Service apply.
10. Security & Incident Handling
We use technical and organisational controls designed to protect customer data, including access controls, encryption in transit, monitoring, and supplier due diligence. If a personal data breach creates a legal notification obligation, we will notify affected parties and regulators as required by UK data protection law.
11. Contact
For privacy requests, use the Portal ticket system or call 01476 246 443 for company and general enquiries. Technical support is available through tickets and email only, not by telephone. If you are unhappy with our response, you may contact the UK Information Commissioner's Office.
12. IP Address Checker
The What’s my IP? tool sends requests directly from your browser to ipify (api.ipify.org and api6.ipify.org) when the page opens and when you select Check again. The provider receives your public IP address and standard connection information. The requests do not include the website entered into the support summary.
The tool keeps results, comparisons and support summaries in the page’s memory. It does not save a lookup history or send those details to our analytics. You can choose to copy or download a summary and share it with support. Hiding addresses affects the page and newly generated summaries, but does not remove existing copies or downloads. The website’s usual preference storage, optional analytics and hosting access logs remain separate from the tool.
